We are looking for an enthusiastic and competent committee to organise Meadows Marathon 2025.  

This is an excellent opportunity for anyone looking to develop skills and gain experience working on a large scale event.

Planning a large scale event like Meadows Marathon can present challenges, however this is what makes volunteering with us so rewarding. These roles require a significant time commitment, with the committee expected to meet on a weekly basis and be available for the day of the event.   The committee is supported by a full time member of staff, ESCA’s Appeal Coordinator, who attends all regular meetings and is always on hand to provide help.

Marathon Coordinators 

Marathon Coordinator (Publicity) 

Marathon Coordinator (Logistics) 

The Marathon Coordinators are responsible for leading the committee and ensuring the successful planning and execution of the event.  

The Marathon Coordinator (Logistics) is responsible for the logistical organisation of the event. Supported by the Vice Coordinator (Logistics) and the logistics subcommittee, they oversee recruitment of volunteers, registration of runners, engagement with external stakeholders such as Edinburgh Council, and production of risk assessments and a comprehensive budget.  

The Marathon Coordinator (Publicity) is responsible for devising a marketing strategy to drive maximum engagement with the event. Supported by the Vice Coordinator (Publicity) and the publicity subcommittee, they oversee the execution of the event’s marketing strategy, including sponsorship, public relations, advertising, outreach, and online presence.  

These roles require a significant time commitment, particularly in the lead up to the event.  

Vice Coordinators 

Vice Coordinator (Publicity) 

Vice Coordinator (Operations) 

The Vice Coordinators are responsible for supporting the Marathon Coordinators to lead the committee in the successful planning and execution of the event. They liaise with their subcommittee to ensure tasks are completed and helping where necessary. 

The Vice Coordinator (Operations) supports the Coordinator (Logistics) in the logistical organisation of the event. Supported by the logistics subcommittee, they oversee recruitment of volunteers, registration of runners, engagement with external stakeholders such as Edinburgh Council, and production of risk assessments and a comprehensive budget.

Health & Safety Officer 

The Health & Safety Officer is responsible for ensuring the event meets safety standards and reports to the Vice Coordinator (Operations). They will review and update the event plan, including the risk assessment, liaise with paramedics and traffic management, attend subcommittee meetings and attend external meetings with the council and other relevant parties.  

Logistics Officer 

The Logistics Officer supports the Vice Coordinator (Operations) and is responsible for coordinating the practicalities of the event such as organising water, securing licenses required for the event, and liaising with the university and council on the route, and procuring medals, t shirts etc. This person is efficient, practical and willing to take on ad hoc duties. ssessment, liaise with paramedics and traffic management, attend subcommittee meetings and attend external meetings with the council and other relevant parties.  

Registration Officer 

The Registration Officer oversees the registration process from start to finish. They set up and manage the online platform, and plan on the day registration. They are responsible for ensuring each race does not exceed runner quota, register the race with external racing databases, send and monitor runner communications via Mailchimp, and liaise with the publicity subcommittee to ensure runners portal is kept up to date with relevant comms. On the day of the event, they will be responsible for managing registration in the venue. This person is organised, efficient and has a friendly manner as they will be the main point of contact for all participants.  

Volunteers Officer 

The Volunteers Officer is responsible for recruiting and training the race day volunteers who allow our event to happen. They will coordinate with logistics to ensure there is adequate volunteer coverage on the day. This person is organised, compassionate and confident in public speaking, as they will deliver training sessions before event day. This role is busiest close to the event but would be required to help with additional ad hoc tasks in the lead up.   

Marketing Officer 

The Marketing Officer is responsible for all elements of marketing the race and supporting the Vice Coordinator Publicity in executing the marketing strategy. They will manage the website, create social media assets and copy and ensure all communications align with MM’s tone of voice and the values of our chosen charities. This person is organised, creative and confident in their ability to implement new ideas. This role requires attention to detail and steady time commitment in the lead up to race day.   

Community Engagement Officer  

The Community Engagement Officer is responsible for managing Meadows Marathon’s community relationships. This includes liaising with chosen charities, local residents, and businesses. This role involves identifying and sourcing sponsorship opportunities and developing sponsorship agreements alongside the committee. This person is positive and enthusiastic with excellent interpersonal skills.   

Welfare Officer 

The Welfare Officer is responsible for the welfare of volunteers and runners on race day and is on hand to support the Volunteers Officer. This person should be a great communicator, approachable and practical. This role can be flexible as duties are mainly required in the run up to race day, however they would be required to help with additional ad hoc tasks where possible.   

Support Officer(s) 

The Support Officer(s) is responsible for supporting the VCs in any ad hoc tasks. This role is entirely flexible to the availability and capacity of the volunteer and can be adapted to their needs and skills.
